Training Center

Legislative framework

Training programs are developed in accordance with the regulatory acts and legal requirements of Estonian and European Union legislation.

1. general provisions

1.1. The Continuing Education Institution was established by the nonprofit organization Ärikool MTÜ (registration number 80419687) and is named the Ärikool Educational Center (hereinafter referred to as the Educational Center). The institution holds a valid notification of economic activity nr. 241184 in the Estonian Education Information System (EHIS).

In order to ensure the quality of training, the Educational Center adheres to the Adult Education Act, the Continuing Education Standards, the company’s business ethics, its charter, and the fundamentals of training organization.

1.2. The Educational Center organizes additional training in the field of non-formal education for adults – providing individuals with professional competencies. The objective of the training is to provide adult learners with comprehensive knowledge and skills that meet current professional requirements and expectations in a specific field, with the aim of professional development or acquiring new competencies.

1.2.1. The groups of training programs and subject areas in which training is conducted are published on the website beautytrainer.eu.

1.3. The start of courses is not tied to the beginning of the conventional academic year: a course can start at any time according to the Training Calendar, which specifies the start and end dates of the training. The Educational Center reserves the right to cancel a course, change its dates, or postpone it until the training group is fully formed. Registered participants are notified of any changes by phone or email no later than two days before the planned start of the course.

1.4. The exact schedule of classes is determined by the instructor in agreement with the Educational Center, taking into account the training period, the specifics of practical lessons, the availability of classrooms, and, when possible, the individual preferences of the parties involved in the training. For each course, the instructor prepares a Training Plan, which is presented to the learner at the beginning of the course.

1.5. The training volume is calculated in academic hours, with one academic hour equaling 45 minutes.

1.6. Classes are conducted on weekdays. Evening groups and weekend classes are possible by mutual agreement between the parties involved in the training.

1.7. All training programs are published on the Ärikool website beautytrainer.eu. The main document of the training is the curriculum, which defines at least:

1) the title of the curriculum;
2) the curriculum group and the basis for the curriculum; If there is a Professional Standard and Professional Level, they are also indicated in the curriculum.
3) the purpose of the training program and the learning outcomes;
4) the target group and the conditions for starting the training if they are a prerequisite for achieving the learning outcomes;
5) if necessary, equipment, tools, materials, or skills not required to achieve the learner’s objectives but necessary or desirable for the process of completing the training (computer, internet, basic computer skills, etc.) are specified.
6) the total volume of training, including the share of classroom, practical, and independent work;
7) a description of the training process, including the training content, methodology, and resources used (if any);
8) availability of provided training materials and conditions for receiving them, if applicable;
9) a description of the training environment;
10) conditions for certification and completion of the training course, along with the principles and methods of evaluation;
11) the document issued upon completion of the training course and the threshold parameters required for obtaining a certificate of completion;
12) the document issued in the case of incomplete completion of the course or incomplete achievement of learning outcomes;
13) a description of qualifications or educational or labor skills ensured by the instructor’s competence;
14) if the course prepares participants to apply for a specific professional right or qualification after training, this is specified as an objective of the training program.

1.10. The Educational Center reserves the right to make changes to the training programs.

2. Collection and processing of personal data

2.1. The Educational Center collects personal information about participants necessary for coordination, training, certificate issuance, funding applications, etc. Personal data is processed in accordance with current legislation. The rules for data collection and processing are outlined in the relevant document of the Educational Center.

3. Procedure for admission to training and conditions for its completion

3.1. Enrollment and Registration for Training

3.1.1. Enrollment is conducted under the principle of equal admission conditions for all applicants, unless otherwise specified by the nature of the educational program being offered. Adults who meet the entry requirements of a specific training program and agree to pay the tuition fee set by the Educational Center within the specified deadline, either independently or with third-party funding, are eligible for admission.

3.1.2. Enrollment is carried out throughout the calendar year according to the training calendar, and no entrance examinations are required.

3.1.3. Pre-registration is required for all types of training. You can register in the following ways:
– by filling out the registration form on the Training Center’s website beautytrainer.eu;
– by sending an email to eu.beautytrainer@gmail.com;
– by calling +372 55 98 48 08;
– you can also register for training courses supported by the Töötukassa Training Card through the unemployment fund’s E-catalogue of Töötukassa training courses.

3.1.4. The following information is required for registration:

– Name and surname of the student
– Personal identification code or date of birth
– Course title
– Language of instruction
– Start date of the training
– Contact details of the learner or the learner’s representative

If the participant is registered by an organization, the name of the company must also be provided.

3.1.5. After receiving the registration, a representative of the Educational Center contacts the potential student to discuss the details. Following this discussion, the registrant may be denied enrollment if it becomes clear that the course does not meet the student’s needs or if the student does not meet the entry requirements specified in the training program.

3.1.6. Registration for a course does not guarantee automatic enrollment in the training program.

3.2. Formation of a Training Group

3.2.1. Courses are conducted in a group learning format. The training group is formed as registrations are received.

3.2.2. The number of students in a group depends on the course and the demand for the specific training program. When forming groups, the level of preparation and individual needs of the participants are considered whenever possible.

3.2.3. Before the start of the course, a list of students is compiled and provided to the instructor.

3.3. Course Commencement and Participation

3.3.1. Only students who have been enrolled in a training group in accordance with Sections 3.1 and 3.2 of this document, and who have paid for the training as per the regulations established by the Training Center, or have provided a letter of guarantee confirming payment from a third-party funder, may commence training.

3.3.2. Before starting the training, the Learner must be familiarized with the Terms and Conditions of Training governed by this Document and other internal documents of the Training Center, if necessary. Additionally, it is essential to ensure that the Learner is acquainted with the Training Program and understands the objectives and achievable learning outcomes. The Participant shall be sent electronically, or given a hard copy package of documents containing at least the following:

– Information about the training period, start date, the main venue, and the venue of the first training session if it differs from the main one, as well as contact information for the Training Center specialist supervising the training.
– The Training Program.
– This document “Terms and Conditions of Training.”
– The terms of payment, if, by agreement, the full tuition has not been paid at the commencement of the training.
– Other documents, if necessary.

3.3.3. A Learner is considered to have started training if they have attended at least one class, typically the first or one of the first sessions.

3.4. Withdrawal from Training and Transfer to Another Course

3.4.2. Withdrawal is defined as a decision to discontinue training before it begins, according to Section 3.3.3. of this Document. To withdraw from training, the individual must contact Ärikool MTÜ via email at eu.beautytrainer@gmail.com or by phone at +372 55 98 48 08. If the registered individual is paying for the training through a third party, they are responsible for informing the third party about the withdrawal. Ärikool MTÜ will also notify the relevant third parties.

3.4.3. If the Learner wishes to change to a different training course before it begins, they may be transferred to another course, with appropriate adjustments to the training and payment terms, provided the Educational Center can accommodate the change, the Learner meets the entry requirements, and any third-party funders (if applicable) agree to the change.

3.5. Attendance Control and Termination of Training

3.5.1. The Educational Center monitors the attendance of students at every class. Both in-person attendance and online participation are tracked. Attendance is recorded through teacher reports, signature collection, surveys, automated tracking in the case of online learning, and/or other methods suitable for the specific case.

3.5.2. Based on the collected data, the Educational Center maintains records, prepares documents for the Learners’ personal files, assesses the students’ engagement in achieving learning outcomes, and considers attendance in evaluations and feedback collection.

3.5.3. If a Learner is unable to attend a class, they must immediately contact Ärikool MTÜ by email at eu.beautytrainer@gmail.com or by phone at +372 55 98 48 08 to seek a solution.

3.5.4. If a Learner misses a scheduled class without a valid reason, they are not entitled to request a personal session for the missed class. Missed classes cannot be replaced, rescheduled, or transferred. At the instructor’s discretion, the Learner may be provided with materials or links to resources covering the missed topics, if feasible.

3.5.5. If the Learner is absent for a valid reason, they may arrange additional consultations with the instructor, based on the principles of voluntariness and reasonableness. The Educational Center strives to support Learners who are motivated to achieve learning outcomes by providing self-study materials, additional assignments, and opportunities for direct communication with the trainer, if possible.

3.5.6. Absence from a class after the training has commenced, as outlined in Section 3.3.3, does not exempt the Learner from paying for the missed session.

3.5.7. After three consecutive absences, the Educational Center must inform any third-party funders of the Learner’s absence. If another notification procedure has been agreed upon with third parties, the Educational Center will follow the established procedure.

3.5.8. In exceptional cases, it is possible to reschedule classes in agreement with Ärikool MTÜ and the instructor, provided that notice of absence is given no less than 7 days in advance.

3.5.9. In exceptional circumstances, the Educational Center may agree with the Learner or the third-party funder to provide make-up sessions for missed classes for an additional fee.

3.5.10. In cases of extended absence due to valid reasons (illness, critical family circumstances, business trips, etc.), a break in training is possible. By mutual agreement of all parties involved, the training can be completed at a later date or with the next group at the same level.

3.6. Procedure for Termination of Training and Expulsion

3.6.1. A Learner is expelled from the training program under the following circumstances:

– upon the Learner’s own expressed wish,
– in case of non-payment of the issued invoice for training by the due date,
– for violating the terms and conditions of training,
– for consistent poor attendance,
– if the Learner violates commonly accepted moral standards, shows disrespect or aggression towards other participants in the learning process, endangers their health and safety, damages their property, disrupts the learning process, or violates safety regulations.

Each case is reviewed individually by the Learning Center. The expelled Learner is considered to have discontinued their studies.

3.6.2. If a Learner misses more than three consecutive classes and fails to make contact for more than 7 days from the date of the third absence, the training is considered automatically terminated, and the Learner is expelled.

3.6.3. The Learning Center shall send a notice of training termination to all relevant parties, including the Learner, third-party funders, the teacher, the practice supervisor, and other persons, if necessary.

3.7. Completion of Training and Issued Documents

3.7.1. The conditions for completing the training are established in the training program.

3.7.2. Learners who attend 75% of the sessions, achieve the established learning outcomes, and pass the assessment specified in the program will be issued a Certificate of Training.

3.7.3. Learners who attend at least 50% of the sessions but do not complete the program requirements or fail the assessment and do not achieve the learning outcomes will be issued, upon request, an Attendance Certificate.

3.7.4. The Certificate or Attendance Certificate is assigned a unique number, which is registered in the corresponding local database of the educational institution.

3.7.5. The Certificate and Attendance Certificate contain the following information:

– Name and surname of the Learner, personal identification code, or date of birth;
– Name of the educational institution that issued the document and its registration code;
– Number of the business notice in the Estonian Education Information System;
– Name and total volume of the study program; The Certificate indicates the volume completed as part of the total study volume;
– Training period;
– Date and place of issuance of the Certificate or Attendance Certificate;
– Unique number of the Certificate or Attendance Certificate;
– Names and surnames of the teachers;
– The Certificate or its annex specifies the acquired skills and achieved learning outcomes, as well as the method of assessment and its results;
– The Certificate lists the topics covered and any intermediate learning outcomes.

3.7.5. Certificates and Attendance Certificates are issued in Estonian. Upon request, and if feasible, the Educational Center may provide an additional duplicate in English. This duplicate is for informational purposes only, is not an official translation, and has no legal force.

3.7.6. Certificates and Attendance Certificates are signed by a member of the board of Ärikool MTÜ or an authorized representative.

3.7.7. In the event of loss, destruction, or damage to the Certificate or Attendance Certificate, a duplicate may be issued upon the request of the Learner who completed the training.

3.7.8. The duplicate is issued on paper or in electronic form following the template of the original certificate, in effect on the date of issuance of the duplicate. The word “Duplicate” is indicated on the form.

3.7.9. Ärikool MTÜ may charge a fee for issuing a duplicate, with the amount and payment procedure regulated by the internal rules and tariffs of the Educational Center in effect at the time of the request.

3.7.10. Upon request by Ärikool MTÜ, Learners are asked to fill out a feedback survey at the end of the training. The data from the survey is analyzed and taken into account by the Educational Center’s specialists in accordance with the quality assurance regulations established in the institution’s internal documents.

4. payment and waiver of tuition fees, as well as the conditions and procedure for its refund

4.1. General Conditions

4.1.1. The cost of training is specified in each training program. It also indicates whether VAT is included in the price.

4.1.2. The cost of training also includes the cost of training materials unless otherwise stated in the training program.

4.1.3. Training is paid based on the issued invoice. The invoice must be paid by the due date specified on it.

4.1.4. The Ärikool Educational Center does not offer permanent discounts or promotional offers, but such offers may be available as part of one-time promotions or advertising campaigns. The Educational Center announces such promotions on its website, on social media, or via email newsletters. In some cases, a discount may be granted to a Learner on an individual basis, as determined by the center’s management.

4.2. Payment Procedures

4.2.1. The costs of additional training are covered by the individual or organization interested in the training. The payment regulations depend on the source of funding.

4.2.2. If the Learner or their representative pays for the training, payment must be made before the start of the training to the bank account of Ärikool MTÜ. In some cases, payment can be made in two or three equal installments, with the first part paid before the start of training and the final part before its completion.

4.2.3. If a third party (e.g., an employer) pays for the training, they must provide a letter of guarantee confirming their agreement to pay for the training after registration and before the start of the course. Depending on the agreement, payment must be made either in full before the start of the training or before its completion. In exceptional cases, the payment period may be extended by individual agreement, in accordance with the third party’s payment regulations.

4.2.4. Training funded by state organizations (e.g., the Estonian Unemployment Insurance Fund) is paid according to the rules and regulations of these organizations.

4.2.5. In case of late payment, depending on the terms and conditions, the Learner may not be admitted to the training, may be expelled, or may not receive their Certificate until full payment has been made.

4.3. Refunds

4.3.1. If notice of withdrawal from training is given no less than 3 days before the start of the training, 100% of the tuition paid by the Learner or third party will be refunded, provided that payment has been made by the time of notification. Alternatively, the participant may join the next group for the same course or participate in another course of equivalent value.

4.3.2. Ärikool MTÜ reserves the right to fully or partially charge for incurred expenses within the paid amount if the Educational Center has already independently covered necessary additional expenses specified in the training program (e.g., exclusive training materials listed as additional costs for the Learner).

4.3.3. If notice of withdrawal from training is given less than 3 days before the start of the training, 50% of the tuition paid will be refunded. Alternatively, the participant may join the next group for the same course or participate in another course of equivalent value.

4.3.4. In case of improper termination of training, the tuition fee is non-refundable.

4.3.5. If the training is canceled or terminated due to actions by the organizer, the tuition fee will be refunded in full if the training did not take place, or proportionally, taking into account the completed portion of the training. Alternatively, the participant may join the next group for the same course or participate in another course with a proportional adjustment of the tuition fee.

4.4. Changes in Tuition Fees During Training

4.4.1. The cost of training does not change during the current course.

4.4.2. The cost of training may be changed if the Learner requests to postpone the training to a later date for reasons not related to the organizer.

4.5. Income Tax Refund

4.5.1. In the income tax declaration, the Learner has the right to claim the cost of training paid to Ärikool MTÜ in accordance with § 26 of the Income Tax Act.

5. Other conditions relevant to the organization of training

5.1. The primary location for training (learning environment) is specified in the training program, but, if necessary to achieve learning outcomes or by mutual agreement, classes may take place in other locations, which will be communicated to the Learners in advance.

5.2. If the training location does not have access for people with special needs, it may be possible to arrange training in a suitable environment or online. Each case is discussed individually with the Learner prior to the start of the training.

5.3. Some training programs allow for partial or complete online learning. Online learning for offline programs is also permitted in cases where the Learner or instructor cannot physically attend due to valid reasons, during lockdown periods, or in cases of force majeure. The regulations for online learning are established by the rules of the Educational Center.

5.4. The training organizer reserves the right to suspend or, in cases of repeated violations, expel individuals who violate the internal rules of the Educational Center, individuals under the influence of alcohol or drugs, or those consuming or distributing alcohol or narcotics on the premises of the Educational Center or in work environments where practical training takes place.

5.5. Training plans, feedback, and other documents ensuring the quality of training are stored in the document management system of the Educational Center for the period specified by legislation related to archiving, record-keeping, and personal data protection.

5.6. Disputes and disagreements between Ärikool MTÜ and participants are primarily resolved through negotiations between the parties. If the disagreements cannot be resolved through negotiations, the dispute will be settled in Harju County Court.
